Money pages
Fees
Set a cancellation fee and a re-parking fee in Settings. Customers see the fee before they confirm. A manager with refund permission can remove a fee on the visit payments page with a reason. You can also set the most fees per visit. Cash rounding (for example LBP 5000) makes cash easy to count; the visit price stays exact and the difference appears in reports as Cash rounding.
Card payments
The platform owner decides whether card money goes straight to the company's own Stripe account or to Elite Valet, which pays the company from weekly settlements. A company connects Stripe in Settings and turns on card payments. Customers pay in the app or on the guest ticket; staff can make a link or code for a customer or for money owed. While a card link is open, cash cannot be recorded, so nobody pays twice. Use Check payment if the customer says they paid. Card refunds go back to the same card.
If a card payment shows Needs checking, open the visit payments page. A manager with Manage money records checks the card provider's record and chooses Paid or Not paid, with a reason. Until then no other payment can be taken for that visit, so nobody pays twice.
Money owed
When a car is returned before full payment, the visit appears here with a due date of the next day. A manager or supervisor can agree another date with the customer: open Change the due date, pick the date and say why. Add notes about calls or promises. Recording a payment on the visit clears it. Nobody is blocked automatically and no reminders are sent automatically. The list tells you when to follow up: 1, 3 and 7 days after the due date (add a note after each call), then a manager decides. If a card payment is still open, check it first.
When a car is handed back with money owed, the sale and the money owed are recorded in the accounts at that moment. Paying later never counts the sale twice. Use Download list to get the list as a CSV file. To add a note, open Add a note and tap a ready answer (for example Called, no answer), or tap Other to write. To change the date, tap Tomorrow, In 3 days, In 7 days or In 14 days (or pick a date), then tap a reason.
Receipts
Each finished and fully paid visit can have one numbered receipt. Choose in Settings whether receipts are made automatically or only when asked, and fill in your business name, tax number, address and footer. Elite Valet does not add taxes or claim official e-invoice status.
Expenses
Add what the company spent, pick a type, say if it was paid in cash or by bank, and attach the bill if you have it. If the company set an approval amount in Settings, bigger expenses wait until another manager approves them. To fix a mistake, cancel the expense with a reason and add it again. Nothing is deleted.
Every approval shows when it was sent and by whom, and when and by whom it was approved, declined or sent back for changes. Approve accepts it. Ask to change sends it back so the person can fix it and send it again. Decline closes it for good, with a reason the person can see.
If a staff member paid a cash expense from the cash they hold, choose them in Paid by. Their expected cash goes down by that amount, so their next count and handover match. Leave it on Company cash box when the money came from the company cash box. The reference (for example the bill number) is shown in the list.
Cash counts
The page shows how much cash each person should hold. Count it and enter the amount. If it is different, write why. Another reviewer then closes the difference. Earlier payments and handovers are never changed.
When a reviewer closes a shortage, the person's cash for each collection goes down too, so they hand over only what they really hold, without a supervisor. An excess stays with the person until a manager decides. The person whose cash was counted can never close their own difference. Counting cash in a few taps: tap the person (people who hold cash come first; others are under "Other people"), tap the currency, then tap "Should have" to fill the expected amount or +10 / +20 / +50, or type the amount. Times are shown in local time. To close a difference or check an offline handover, tap a ready answer such as Cash counted again, or tap Other to write your own. A green badge means the count matched; red means cash is short.
My cash
See all the cash you hold from visits in one list. Choose who receives it and tap Hand over. The receiver counts the cash and confirms; until then you are still responsible for it. A supervisor can hand over several visits at once or part of a visit. A refused handover stays with the sender. If cash was handed over while the system was offline, tick the offline box and say when and what happened; the receiver adds their own account, and a manager who was not involved checks it on the Cash counts page. Supervisors and managers can also put the cash they hold in the cash box or the bank with Deposit my cash. In the staff app, the collector taps the car, then picks the receiver from the name chips. Given offline earlier has a switch and reason chips.
Deposits
Supervisors and managers who receive cash put it in the company cash box or take it to the bank. Open Deposits (or My cash), tap Cash box or Bank, tap All or type part of the amount, and tap Deposit. Add the bank slip number under More. Each deposit gets a number and a slip you can print and keep with the cash or the bank paper. Your cash goes down by that amount, so your next count and handover match.
A manager who can manage money records also moves cash from the cash box to the bank (Cash box to bank). Deposits are never changed or deleted; if one is wrong, count the cash and record the difference on Cash counts. People who see the money records see every deposit; a supervisor sees their own.
Card disputes
When a customer asks their bank to take back a card payment, the amount is held and the visit appears here. Answer the dispute with the card provider using the visit record. When the bank decides, the page shows won or lost and the money moves automatically.
Card settlements
When Elite Valet collects your card payments, it pays you on a schedule (weekly unless the owner set another). Each settlement shows card payments, card fees, refunds, disputed money that is held, and the amount paid to you. "Ready" means it is waiting for the owner's bank transfer; "Paid" shows the transfer reference. You cannot change a settlement; ask the owner if something looks wrong.
Billing
Your Elite Valet plan (monthly or yearly), your invoices and, when card payments are on, your saved card. You are warned a week before the due date. After the grace period, settings and new staff invitations pause until payment; car service, customers and payments never stop.
Card: managers who handle company settings for all branches can save a card on the secure card page of the payment company (Elite Valet never sees the card number), press Pay now on an invoice, or remove the card. With Auto-charge on, the card is charged on the due date; if it is refused it is tried again after 3 and 7 days, and you get an email each time. A receipt email follows every card payment.
Payments to other operators
When a car you received was finished by another operator (for example after a shift change), your company keeps the visit money, debts and refunds. Record what you agreed to pay the other operator, then mark it paid with a reference. The customer is never charged again.
Venue statements
For places where the venue pays instead of the customer, pick the venue and dates, check the visits, and create the statement. It starts as a draft: a manager checks it and approves it, or sends it back with a note so a corrected one can be made. Only approved statements are shown to the venue. When the venue pays, mark it paid. A visit is never put on two live statements.
Every approval shows when it was sent and by whom, and when and by whom it was approved, declined or sent back for changes. Approve accepts it. Ask to change sends it back so the person can fix it and send it again. Decline closes it for good, with a reason the person can see.
Creating, approving and marking statements paid needs the permission Manage money records. People who can only view money records see the statements but cannot change them. The same applies to payments to other companies.
Money report
Choose the dates to see parking sales, fees, cash rounding, rewards, refunds, expenses and cash differences for each currency, plus everything added up in your main currency using the rate saved with each visit. Download every entry as a CSV file for your accountant; amounts are exact.
The report also shows card disputes the company lost, money moved through staff cash, the company cash box and the bank, and how much customers still owe today in each currency. Tap a branch to see only that branch. Under Files for the accountant, download the Ledger, Payments (with branch, plate, payment type and who collected) or Expenses for the same dates and branch. People limited to some branches see only those branches.
Elite Valet billing (platform owner only)
Set each company's plan, monthly or yearly, create invoices and mark them paid by hand. If an invoice is late after the days to pay, the company cannot change settings or invite new staff until it is paid. Car service, customers and payments keep working.
A visit counts in the month its car was handed back, even if the visit is closed later. Visits entered twice by mistake, or where the customer left before parking, never count. While settings are paused, changes to staff jobs and permissions and new operator schedules also wait. Opening or closing a branch, shift planning, ending a schedule, cash and customer service keep working.
Yearly plans are invoiced in advance on the start date and every year after; a fee per car is still invoiced after each month. "Months free" is only shown to the company. Switching monthly and yearly is fair to the day: the used part of the month, or the unused part of a paid year, is a line on the next invoice. Card payments: once Stripe is connected on the server, turn Auto-charge on here and in each company's plan; "Mark as paid" always stays. The subscription can be one price for the whole company or a price per location: every branch the company owns or runs under an agreement counts, a location added or stopped during a month is charged for its days only, and the invoice shows "3 locations × $100". On a yearly plan the locations of the first day are paid in advance; a location added or stopped later is a charge or credit for the rest of the year.
Find records
Use Search to find a name or reference in the permitted list. Choose Show to narrow the results; Dates adds an optional date range. Find searches all results before pagination. Clear filters restores the list while keeping the selected company and existing page controls. Search does not search private message or review text. The normal service priority remains unchanged. Date ranges use the platform display time; invoice dates use the due date and settlement dates use the period end. If a filter is invalid, its error appears above the controls; correct the value and choose Find.
