How to use Elite Valet

Staff access

  1. Choose the company, then open a person’s card. Set their role and allowed locations. Managers can manage only access within their own permissions and locations. Shift explanations are behind the information button beside the section title. Open it when you need the rules; the forms and actions stay in the section.
  2. Open Allowed actions and check the exact rights. Disabling company access does not delete the person, customer history or employment at another company. You cannot change your own access here unless you are the platform owner.
  3. Finish active work and handovers first. Save once. If someone else edited the record, refresh and review again. Every saved change preserves who changed it and the previous and new values. Manager login requires authenticator protection.

Use the numbered setup links for the company logo, branches or valet agreements, employees and job permissions. Valet operators work at venue branches through agreements. The first invitation suggests a company manager or venue manager with all company locations; review the choice before sending. Other invitations keep the Valet default. The owner must open company data with a recorded reason before accessing employees. Help icons stay beside their setting: hover or focus to read, click or tap to keep the explanation open.

Open an employee card to change their job, status and allowed locations. Use job permissions to follow this company’s job rules, or choose permissions for this employee. Only permissions you can grant are available. Driving records, shift planning and sign-in help are separate sections. Changes keep their audit records and cannot strand cars, shifts or cash.

Open Shift planning from Staff access or an employee card. Choose an employee, then one of their permitted branches and the local start and end times. Filters combine employee, branch, dates and status; dates include overnight shifts that touch the selected days. Open a planned shift to change it, repeat weekly or cancel with a reason. Each card shows its branch timezone. Started shifts follow the normal handover workflow. Copy last week uses the chosen branch’s Monday-to-Sunday week, skips unavailable people and ended shifts, and refuses clashes without a partial save.

Times use the location timezone shown below. A planned shift does not check the employee in. Overlapping shifts are refused, including work at another company; no other company details are shown. To plan faster, use Plan faster under Planned shifts: Repeat weekly plans the same shift on the same day and time for the next weeks, and Copy last week copies all of last week’s shifts at one branch into this week or next week. If any new shift would clash with another shift of that person, nothing is planned and the page names the person and day. Shifts already over and people you can no longer plan are skipped and counted. Each copy is saved with your name.

Planned shifts appear above staff cards. To cancel, enter a reason and select Cancel planned shift. Started shifts must finish through the staff handover workflow. Cancellation keeps the record and does not change car custody.

If someone left without ending their shift, a supervisor can close it here or in the staff app, with a reason. This works only when the person holds no request, no car or keys and no cash, has no car handover still waiting, and does not hold the release phone; settle those first. The closing is saved with your name, the reason and what was checked.

Shifts nobody ended close by themselves 2 hours after their planned end (16 hours after the start when there is no planned end). The saved end is the planned end, so hours are not inflated, and a break still open ends at the same time. The shift shows "Closed automatically", and the supervisors and managers of the place get one notice. Cash the person still holds stays "to hand in". A person who still has a car (driving, on the way to a car, or keys not handed over) keeps the shift open: you see "Shift past its end" under Needs you, and it closes by itself after the car is handed over.

To change a planned shift, choose its new location and local times and enter a reason. The previous record is retained. If the new shift conflicts, the original stays unchanged. Started shifts cannot be edited this way.

When someone leaves: first end their shift, hand their cars and tasks to others and collect their cash. Then switch off their access. Their staff app signs out at once; past records stay.

Only authorized management records this private check, expiry and reason. Warnings show expired dates and dates within 30 days, using the system date. This record does not decide legal eligibility or automatically transfer cars or close shifts. The company remains responsible for authorizing drivers. Customers never receive these fields.

Preparing custom notifications and sending them are separate permissions. They do not give access to other companies or locations. Venue managers need an explicit grant; ordinary valet staff do not receive these permissions by default.

Choose a week, employee and branch; filters combine. More filters selects open or finished attendance and employee sorting. Earlier, Later and This week keep your employee and branch choices. Summary cards and Download cover all matching records, including later pages. Employee cards show hours, shifts and weekly car work at the selected branches; Hours by day opens the daily breakdown. View records selects that employee. Attendance records show recorded check-in and check-out; planned shifts without a check-in are excluded. Open shifts count until now and are unfinished. Missing check-out uses the saved end and is clearly labelled. Breaks are included; no pay, absence or lateness is inferred. Week boundaries and displayed records use the timezone shown on the page. Attendance status filters also limit car-work summaries to people with a matching attendance record; car counts still cover the selected whole week and branches. Access remains limited to people and branches you may manage. Hours worked lists, for one week at a time, the hours each person was on shift per day, from the shift records of the staff app (start to end, breaks included). Use Earlier and Later to change the week, and Download for a spreadsheet file with one line per shift. You only see people and branches you manage. It does not calculate pay. Cars in counts the cars each person took in that week. Cars out counts the cars they brought to the door or handed back to the customer (each car once). Bring time is the average minutes from tapping Accept to the car being at the door; waiting in the queue before someone accepts is not counted. Use it to help and plan, not to judge one busy day.

Managers: open Staff, open the person, then Sign-in help. Set a temporary password (shown once, give it privately), Send a reset code to their own verified contact, or Sign out everywhere now if a phone is lost. You can only do this for staff you manage in your company, never for the platform owner or yourself. Every action is recorded in the Activity log. Passwords and sign-in help

To change a person: open them in Staff. Their name and contact are at the top. Tap "Role and permissions" to pick a job: each job shows what they can do and what they cannot. "See detailed permissions" turns single permissions on or off for this person only. Save keeps the changes; the bin switches the person off (you can switch them on again). Adding staff uses the same job cards. The staff app has the same screens.

To see what each job can do by default, open the permissions table. What each job can do Choose the company first; Platform standards changes the limits for every company and is available only to the owner. Open a role to see its actions grouped by purpose. Search, role and access filters hide rows only; they never remove saved permissions. Enabled means checked, Available means you may enable it, and Blocked means platform or manager limits prevent adding it. A read-only viewer sees the same role details without save controls. Company editing requires whole-company roles.manage permission; you cannot add powers to your own inherited role or grant new powers you do not hold. Save applies all role panels, including hidden panels, with audit, version checks and sign-out for affected inherited-role users. Custom employee overrides are separate and retain platform-wide limits. Reload saved permissions discards unsaved choices; use it after another person’s changes cause a version conflict. Restoring platform standards appears separately and is offered only when your grant limits allow it.

The staff app for each job

The staff app shows each person what their job and permissions allow, with the same rules as this dashboard. Valets keep Requests, My cars, My day, History and Account. Supervisors get Home, Requests, Cars, Team and Me. Cashiers get Cars, Cash, My day and Me. Venue managers get Home, Cars, Problems and Me. Company managers get Home, Cars, Team, Money and Me. The platform owner gets Home, Companies, Approve, Money and Me, and opens a company's data with a reason, as here.

Home shows big picture buttons in a fixed order, each with a number when something waits. A red number needs action. The banner at the top shows the one most urgent thing with one button. "More" holds the rest.

Approve lists the decisions waiting for you: unpaid returns, cars staying overnight, wrong cash amounts, staff profile changes and missing photos. Today shows each place: cars here, waiting, staff on duty, returned today, problems and the average wait. Team opens each of your places to move someone, send someone home or close the place for tonight.

Count compares the cash a person holds with what they should hold. Tap the person, type the amount on the number pad and save. If it is different, tap a reason. Another reviewer settles the difference later. Tonight shows each valet's cars and cash for the night. Anyone whose job allows refunds can approve and pay them in the app too.

"Full dashboard (advanced)" in More opens this dashboard inside the app with a one-time link that works for 60 seconds. If your job needs the 2-step code and the app sign-in did not use it, the page asks for the code. Links to other websites open in the phone's browser.

When a manager changes someone's job, permissions or places, or switches a person off, their app updates within seconds (at the latest when it opens again) and shows "Your access changed". Anything no longer allowed is refused by the server at once.

Build 188 (owner decision 2026-10-29): the staff app is as full as the dashboard for each person. Home holds your daily actions and a "Find a page" search. More lists every page of your dashboard menu under the same headings (Operations, Messages and feedback, Money, Team and setup, Platform owner); pages the app shows natively open at once, and the others open that exact dashboard page inside the app, already signed in, marked "web". Me is your account only. Screenshots are allowed in the staff app.

Find records

Use Search to find a name or reference in the permitted list. Choose Show to narrow the results; Dates adds an optional date range. Find searches all results before pagination. Clear filters restores the list while keeping the selected company and existing page controls. Search does not search private message or review text. The normal service priority remains unchanged. Date ranges use the platform display time; invoice dates use the due date and settlement dates use the period end. If a filter is invalid, its error appears above the controls; correct the value and choose Find.
