How to use Elite Valet

Manage a car visit

Open a car from the dashboard. The available buttons follow your role, location and the current visit status.

How this screen works: the plate and the coloured status are at the top. The big red button is the next step. Rare actions (print slip, urgent, keys, end visit) are under More. To give a reason, tap one of the ready answers; tap Other to write your own. Tap ⓘ to read a longer explanation.

A tapped alert opens the screen where you act on it: a new car request opens Requests on that car’s card with Accept & retrieve ready, a car update opens that car on My cars; if a colleague already took the job, a short bar says who. Phone alerts are reminders; always check the screen before acting. Opening an alert only opens the right page; it never moves a car, sends a message, confirms money or closes a visit. Staff: available staff on shift get new car and item requests; the first to accept gets it. Changes to shifts, tasks or permissions can cancel a waiting alert. The responsible valet gets cancellation requests even when busy; a cancellation request is not a confirmed stop. Cash handover alerts go only to the named receiver, and the answer goes back to the sender. Customers: you get updates when a valet is assigned, the car arrives, is parked or parked again, is returned and when the visit closes, plus the latest arrival estimate. Alerts show what happened, like a chat app: the car or the sender and a short text, chat messages too. They never show the pickup PIN, codes or private notes. If your phone hides sensitive content on the lock screen, only “Elite Valet” shows there. Alerts can arrive late or expire (cash alerts after 24 hours); history stays saved. Marketing preferences do not turn off service alerts.

Contact the company about your visit, even after it ends. To get your car, use the visit controls.

  1. Bring my car sends a request, and it counts only when the app shows it as sent. Before a valet accepts, you can cancel right away. After a valet accepts, wait for staff to confirm the cancellation.
  2. Receive a car when the camera cannot scan: ask the customer for the short arrival code under their QR (8 letters and numbers, for example 88DE-4D00). Type it in the staff app instead of scanning. Capital letters, small letters and the dash do not matter. In the staff app, Receive car opens the camera by itself; to type the code instead, tap Type code.
  3. Item requests (phone, bag and so on): one valet accepts and taps Delivered. A supervisor can give a request to another valet. If the customer asks for the car while an item is open, the item valet is told, and the valet bringing the car can tap to bring the item too. If the customer cannot confirm the delivery in the app, a supervisor records it with a short reason.
  4. Supervisors give requests to valets: on a waiting request, tap a valet's name and then "Give to valet". You can also do this from the request card on the overview. Supervisors do not accept requests themselves; the valet who receives it does the driving.
  5. Tap Accept only when you are ready. Receive the car and keys through an accepted handover before you tap Start. Tap Car here only when the car has really reached the pickup point.
  6. Map point: when you park or repark a car on the website, you can press "Use my location". Your browser asks for permission. If you say no, or the reading is not exact, the parking place is still saved. A repark keeps the last map point unless you add a new one.
  7. View map: on a car's page, tap "View map" to see where the car is parked (P), the car itself while a valet drives it (updated every 15 seconds), and the valet stand (flag). Only real places are shown: with no position there is no map, only the reason. "Open in Google Maps" opens the same place in Google Maps. The map loads only when you tap the button.
  8. Hand over: open the car, tap "Hand over", tap the person who takes the car and keys, and tap a reason. They must confirm they really received them; until then you stay responsible. If your company uses key slots and you put the keys on another hook, open More and tap "Move keys" so the key history shows the old and new slot.
  9. Record cash received only after collecting the displayed full amount. It names the collector. An internal cash handover is a separate action and never a second customer payment.
  10. Scan or type the customer's pickup code to record the return; the customer then taps Got my car. A friend can collect with a one-time code the customer creates. With no code, a supervisor uses No code after checking ID and car papers. If a returned car is never confirmed, a supervisor can close the visit with a reason. Supervisors can mark a waiting request as urgent so it shows first. In the staff app, Scan and PIN are two buttons side by side under the plate; PIN opens a full number pad for the pickup code.
  11. Money still due at return: before you hand back a car, the staff app and this page show "Still to pay" with the amount. Collect the payment first. If the customer cannot pay, only a supervisor may hand the car back unpaid: a valet taps Customer cannot pay in the staff app, a supervisor taps Approve or Say no on their own phone, and the car waits for the answer. The amount stays on the list of money owed.
  12. Guest lost their ticket: a supervisor opens the car, checks that the guest describes the car and plate and that the name or phone matches, writes the reason and gives a new ticket. The guest scans the new code; the old ticket stops working. Nothing is sent by SMS.
  13. End a visit without return: a supervisor or manager opens the car, taps "End visit without return", chooses what happened (the car was entered twice, or the customer left before parking) and writes a short reason. This works only while the car is received or parked, before any payment and with no accepted request. A parked car can end this way only when it was entered twice; otherwise return it to the customer normally. The visit stays in the history but has no price, earns no rewards and is not counted or billed.
  14. Supervisors and managers can also end a visit without return from the staff app: open the car, tap "End visit without return", choose what happened, write a short reason and confirm. The same rules apply as on the website.
  15. App PIN: each staff phone needs a 4-number app PIN to open the staff app (customers can choose one too). Easy PINs are refused: the same number four times (1111), numbers in a row (1234 or 4321) and repeated pairs (1212). Choose 4 numbers that are hard to guess.
  16. Setting up and changing the app PIN: the first time, type 4 numbers, then the same 4 numbers again. To open the app, type the PIN or tap "Use fingerprint or face"; a phone without fingerprint or face can always use the PIN. After 5 wrong tries, wait 30 seconds; after 10, the PIN is removed. Forgot PIN: staff tap "Forgot PIN?" and type their account password (managers also type the authenticator code); customers sign in again with the code sent to them. Then they choose a new PIN. To change it, open Account, tap "Change app PIN" and type the current PIN first. Customers can turn App lock on or off in Account. The PIN stays only on the phone and never adds permissions.
  17. Appearance (light or dark): both apps follow the phone’s light or dark setting. To choose, open Account, go to Appearance and tap Phone setting, Light or Dark. The choice is saved on that phone only and changes nothing else.

A car that is still here after the number of days set in Company settings (3 days unless changed) shows an amber "Long stay" badge in the car list and in the staff app. Supervisors open the car, choose how they tried to reach the customer (call, message or in person) and the result, then tap Save try. Each try is saved in the visit history with the name and time. Nothing is closed automatically: give the car back or use End visit as usual.

Owes from before: when a car arrives and the same customer or the same plate still owes the company money from an earlier visit, the car page and the staff app show an amber "Owes from before" badge with the amount. Ask the customer to pay it; nothing is blocked and the car is always given back. The badge goes away by itself once the earlier visit is paid (Money owed page).

Dashboard

Find records

Use Search to find a name or reference in the permitted list. Choose Show to narrow the results; Dates adds an optional date range. Find searches all results before pagination. Clear filters restores the list while keeping the selected company and existing page controls. Search does not search private message or review text. The normal service priority remains unchanged. Date ranges use the platform display time; invoice dates use the due date and settlement dates use the period end. If a filter is invalid, its error appears above the controls; correct the value and choose Find.

Plate requests

If a plate already has an open visit at your company, the app shows that visit: open it, end it, or (supervisor) receive the car anyway with a reason. If it is open at another company, the car is received and you can tap "Ask them to close it". That company sees the request in its Inbox and answers Ended or Car is still here. Only the place and the time are shared.
